Overview
The Executive Secretatiat (Exec Sec) Team is looking for an ambitious go-getter who has strong technical and communications skills but is also able capable of being flexible as the Team manages competing priorities in a fast-paced, demanding environment. This individual will need to be a team player who can take on a leadership role and manage expectations through a problem-solving and customer service approach. The Exec Sec Team is a unique team within the IO as it coordinates with all Centers within the Agency as well as the HHS Secretary’s Exec Sec Office. It is fast-paced and hectic at times, but this role will provide an individual the opportunity to work in a high visibility space with Senior Leaders of a growing Agency. Not only will this individual lead correspondence management for the team, this individual will support the Contracting Officer’s Representative (COR) in ad hoc budget/finance projects, so a background in finance will be helpful.

Responsibilities:
- The contractor shall provide business consultant support and expertise to ASPR program office officials and senior/executive leadership; troubleshoot business process issues and recommend corrective courses of action.
- The contractor shall support data analysis of correspondence across the various program offices in order to provide metrics, as needed.
- The contractor shall facilitate regular status update briefings; draft, edit, and oversee regular status reporting for office business requirements; organize file structure and required written/electronic material; draft written work products, as needed.
- The contractor shall actively engage and work within the Strategic Work Information Folder Transfer (SWIFT) and Secretary’s Policy System (SPS) systems to ensure end-to-end coordination of all correspondence with internal and external players; triage issues through ASPR.
- The contractor shall serve as a subject matter expert in plain language and ensure all official government work products are effectively compliant with plain language requirements.
- The contractor shall provide strategic and operational comprehensive tracking and task management for the portfolio
- The contractor shall serve as the agency and departmental liaison on all matters related to executive correspondence and document management.
- The contractor shall review and analyze incoming correspondence for accuracy and alignment with the ASPR mission, policies, strategic plan, and authorizations; ensure that all correspondence tasked to offices is completed on time and is checked for grammar, spelling, and correct/appropriate content.
- The contractor shall provide lead coordination for interdepartmental clearances of high-level policy and technical documents, including submission of documents for review, addressing comments and edits, and obtaining appropriate signatures.
Qualifications:
Required Education:
- Graduate degree in a related topic area
Required Experience:
- 6-8 years of applicable experience
- Correspondence management and copyediting
- Meeting management and hosting
- Customer service and problem-solving skills to manage expectations
- Up-to-date software skills (e.g., Microsoft Suite – especially SharePoint, Excel, and PowerPoint; Adobe, Teams, Zoom, Outlook, etc.)
Required Clearance:
- Either currently holds a Tier 2 Clearance (e.g., Public Trust) or eligible to gain one
